We are looking for an experienced administrator to work in a special Resource Centre by providing an effective administration and scheduling service for community equipment, across Adults and Integrated Care.

You will act as the first point of contact, for both internal colleagues, partners and external members of the general public, by providing prompt and consistent information, advice and guidance, and where appropriate signposting on to others.  This will be through a range of emerging communication channels, including face to face, email, web based and on the telephone.

The role will also include undertaking a selection of specialist duties which are highlighted below.

  • Support a range of visitors to the Living Better Lives Resource Centre, handling enquires across a wide range of service areas.
  • Effectively understand the nature of queries and provide timely information related to Community Equipment.
  • Input onto the computerised system all requests for information, feedback and complaints to the relevant people for action and recording purposes.
  • Communicate with other staff across the council and NHS Professionals via telephone, email and letter.
  • Maintain manual and electronic filing systems and file transfer procedures as required.
  • Maintain computerised record systems, including statistical information.
  • To assist with the planning, arranging deliveries in advance, receipting returns etc.
  • Create, record, track documents relating to community equipment and word process documents as required.
  • Undertake administrative duties including filing, post, photocopying etc.
  • Facilitate the Living Better Lives conference and demo room’s diaries for external organisations and council internal departments.
  • Process orders; updating service item details, post deliveries via ELMS system.
  • To complete appropriate documentation for the loan & return of equipment, ensuring information is accurate and recorded on correct system / and correct location.
  • To carry out ad hoc duties to meet the requirements of the service that falls within the grade of the post.

The person

  • Must be educated to GCSE grade ‘C’ or equivalent in Maths & English
  • Ideally hold Intermediate qualification in IT or equivalent
  • Be able to use computerised information recording systems
  • Experience of communicating effectively and positively with a variety of people
  • Experience of word processing and administration systems
  • Experience of dealing with Customer enquiries both face to face and over the telephone
  • Ideally have a knowledge and an awareness of support services available to disabled people and carers of all ages – statutory, voluntary and private.
  • Relate sympathetically to vulnerable or dependent people
  • Be sensitive to the needs of individuals, their carers and families
  • Able to create and maintain both manual and computerised record systems.
  • Able to maintain confidentiality at all times
